Employee Time clock which is also known as a Time Recorder, Punch Clock, Bundy Clock, Time Clock Machine and Clock Card Machine is used for tracking employee time and attendance by clocking on and off either by using a clock card, proximity card, fingerprint, facial recognition or pin code.

A time clock is a mechanical, digital, electronic or biometric clock used for tracking hours worked by an employee.

There are many variations of time clocks, non-calculating, calculating, time and date stamper, proximity card and Biometric.

Non-calculating time recorders will stamp the date and time on a time card.

Calculating time recorder will also stamp the date and time on a time card but at the end of each day and end of payroll Week, Fortnight or Month the total time is calculated.

Time and Date Stamper stamps the date and time on to the time card or job costing card.

Proximity card time clock system works with a software program where an employee is able to use pin code or proximity card to clock in and out.

Biometric time & attendance system means by which a person’s fingerprint or facial id are detected and recorded on the time clock system a way of confirming identity.

A time and attendance systems records when employees start and stop work, track meals and breaks, the department where the work is performed, the type of work performed, and the number of items produced. In addition to tracking when employees work, business also need to keep track on when employees are on Annual Leave, Sick Leave, to name a few.

Automated systems

Automated time and attendance systems can use proximity cards, pin code, HID cards, and biometrics(fingerprint, or facial). The employee swipe, touch or stand in front of the time clock to identify themselves and record their working hours as they enter or leave the work area. The time and attendance system information is then transferred to a computer for processing, in some cases a portable memory device is needed and an employee has to physically transfer data from the time clock to the computer.

The software once on the computer generates employee timesheets which are used to calculate employee wages, some software can integrated into the company’s payroll software.

In the recent years problems started to rise in the workplace with the original style Bundy clocks. If an employee for example was running late for his shift, another employee ‘buddy’ could take their time card and clock on for them. Therefore, Bundy-style time clocks are still excellent for few employees where trust and honesty exists, however most business and certainly large employers are making the move to systems like a biometric time clock which cuts out opportunities for another employee ‘buddy’ to clock on or off for them.

It’s a good idea to explain to your employees why you have decided to purchase a time clock or update your current one. Your staff may see a purchase of a time clock or an upgrade to biometric time and attendance system as an enemy.

You should point out that a time and attendance records are the employees claim to be paid correct wages including any overtime due or penalties associated with that time.

It is also advisable to discuss what you regard as acceptable for late clocking in such as accident on the freeway. If the staff try hard to be on time but are docked they may feel disheartened.
